About this policy
This notice applies when you access or use SmartShip services. “Personal data” means information that identifies you directly or can identify you when combined with other information. A “customer” is a person or organisation using SmartShip to manage fulfilment or related services; an “end user” may be a customer’s consumer or service user.
Information we collect
We may collect information you provide when you visit the website, register, place an order, subscribe, respond to a survey, contact us or complete a form. This can include your name or username, telephone number, email address, mailing address and billing address.
Technical and usage information may also be created when you use the service, including device details, IP address, browser information, log data and cookie identifiers. We may receive relevant information from service providers, fraud-prevention services, connected platforms and publicly available sources.
How we use information
We use information to deliver and administer SmartShip services, process transactions and orders, support customers, personalise the experience, improve our website and operations, communicate service information, and—with the appropriate permission—send marketing communications or measure advertising.
Customer and end-user data may also be processed where necessary to provide fulfilment, account, shipping, support and related services requested by a SmartShip customer.
Retention and international transfers
Information is kept only for as long as needed for the purposes described, to provide services, or to meet legal and regulatory obligations. The published SmartShip policy states that conversation and personal data may be retained for up to six years unless an account is deleted; following deletion, disposal is intended within 60 days, subject to legitimate legal, backup and technical requirements.
Information may be processed outside Ireland by personnel or service providers. Where data crosses borders, SmartShip seeks to use appropriate safeguards and compliant providers.
How information is protected
SmartShip uses physical, technical and organisational precautions intended to protect information against unauthorised access, alteration, disclosure or loss. Sensitive transactions use secure transmission and approved payment providers. No system can guarantee absolute security, so customers should also protect passwords and account credentials.
Your privacy and GDPR rights
Depending on the circumstances and applicable law, you may ask to access, correct, update, restrict, transfer or delete your personal data, object to certain processing, or change communication preferences. SmartShip may need to verify your identity and may retain information where law or legitimate obligations require it.
You can unsubscribe from marketing through the link in a message. If SmartShip processes your information on behalf of one of its business customers, you may first need to contact that organisation. You may also raise a concern with the Irish Data Protection Commission.
Children, updates and governing law
SmartShip services are not directed to children under 13, and SmartShip does not knowingly collect their personal data. A parent or guardian who believes a child has provided information should contact SmartShip so appropriate action can be taken.
This policy may change as services, legal requirements or practices evolve. Material changes may be notified through the service. The policy and use of the website are governed by Irish law, while individuals may retain rights available under other applicable data-protection laws.
